Documenting Your Event: Reports, Photos and Honest Analysis
Prepare a report from all the stages of the event for the following reasons.
It will be recorded as your work experience as an event organizer. While closing the contract for holding a new event, you will be more persuasive if you provide some documents such as videos and photos from your previous works.
Preparing an illustrated report to present to the employers is essential in the event business and complements the documents you give to the employers regarding the event's expenses. By doing so, you show them that you have fulfilled your promises.
It also helps with the analysis. Suppose you realize after the event that there have been some drawbacks. In that case, you can review the photos and identify the reasons behind the problems. For example, the suppliers have not fulfilled their obligations in a part of the job. In analyses, you can check whether you have accomplished the predefined objectives or not. If there's any deviation from the goals, you can identify the reason behind it.
One of the parts of analysis is to evaluate the suppliers' performance. You may realize in this stage that, for example, a contractor has applied some other materials without your knowledge. It shows that the corresponding supplier is not reliable. If something had happened due to that negligence, you would have been unable to receive any claim from insurance because you had breached your obligations to the insurance company.
The documentation expenses are among the event's expenses. If your event is of high financial value, use a professional cameraman and photographer for documentation. Otherwise, you can at least record videos and take photos using your own mobile phone.
